InterContinental Tokyo Bay (the "Hotel") recognizes personal information as important information entrusted to it by its guests / customers, and takes great care in handing such information, including the appropriate acquisition and management of personal information in compliance with the Act on the Protection of Personal Information (the "PoPI Act") and other relevant laws, regulations, and guidelines, etc.

Definition of Personal Information

For the purposes of this Privacy Policy, "personal information" refers to the following information about a living individual.

  1. Information including the person's name, birthdate, or other information by which a specific individual can be identified.
  2. Information including individual identification codes
  3. Information collected by the Hotel when users are browsing the website (device information, log information, cookies and anonymous IDs, location data, IP addresses, and individual identification information)

Scope of Application

This Privacy Policy applies to the personal information of guests / customers obtained by the Hotel when using Hotel services and products, and also to the use of personal information in any form, including verbal, written, and electronic records.

Collection of Personal Information

We will acquire the personal information of guests / customers by fair and appropriate means:

  1. Directly from guests / customers
    By telephone, written documents (including electronic / electromagnetic records), business cards, verbal communication, the Internet, etc.
  2. From a person legitimately authorized by the guest / customer
    Referrers, travel agencies, business partners, and reception operators for package products, etc.
  3. From publicly available information media
    From the Internet, newspapers, telephone directories, books, and other publications, etc.

Guests / customers are under no obligation to provide personal information to the Hotel, except to the extent required by other Hotel regulations or laws and regulations, and choosing not to do so will not impede your ability to purchase products or services from the Hotel.

Purposes of Use of Personal Information

Personal information collected from guests / customers will be used for the following purposes.

  1. Reservations for Hotel accommodation, banquets, and restaurants, etc., various services, and ensuring the safety of guests / customers
  2. Reservations for accommodation via IHG ANA Hotels Reservation Center
  3. Introduction, provision and management of Hotel services, products, events, and campaigns
  4. Questionnaire surveys regarding Hotel services and products, etc.
  5. Development of new Hotel services and products
  6. All operations incidental or related to Items 1 through 5 above
  7. Operations related to the provision of Hotel services and products
  8. Provision of information on Hotel services and products, various events, and campaigns, and those offered by partner companies, etc.
  9. Responding to inquiries and requests, etc.

Disclosure and Provision to Third Parties

The Hotel will not disclose or provide the personal information of guests / customers to any third party, except in the following cases.
Joint use or provision to a subcontractor does not constitute disclosure or provision to a third party.

  1. Consent has been obtained from the relevant customer
  2. It has been requested that the Company disclose or provide the information in accordance with laws and ordinances
  3. When disclosure is necessary to protect human life, health or property, and it is difficult to obtain the consent of the customer
  4. Disclosing or providing such personal information is necessary for the national government, local public organizations or others to perform public administrative work and obtaining consent from the customer may pose an obstacle to the fulfillment of the administrative work
  5. When notifying the individual of the following information in advance when providing information, keeping it in a state where the individual can easily know it, and suspending provision to third parties at the request of the individual
    1. The fact that the Purpose of Use is to be provided to a third party
    2. Items of the Personal Data to be provided to a third party
    3. Means or method of provision to a third party
    4. Joint Use

The Hotel may share the personal information of guests / customers with companies that constitute the Hotel Operating Company Group, within the scope of the purpose of use.

Provision of Services

The Hotel may outsource part of its operations and provide personal information to subcontractors to such extent as necessary.
When doing so, we sign an agreement with such subcontractors regarding the handling of personal information, and engage in appropriate supervision.

Management of Personal Information

The Hotel will manage guest / customer personal information appropriately and pay the utmost care to prevent leakage, loss, or damage, etc. We will provide in-house education to officers and employees regarding the protection and appropriate handling of guest / customer personal information.
The retention period for personal information will be determined separately according to the purpose of use. After the period has ended, personal information will be disposed of or deleted in an appropriate manner.

Responding to Inquiries about Personal Information

If you wish to request disclosure, correction, addition, suspension or use, or deletion, etc., of your personal information, please contact us by the method specified separately by the Hotel, and we will respond promptly, to a reasonable extent.
However, please be aware that we may refuse all or part of the request if there is a risk of harm to the life, health, property, etc., of the individual or a third party, if it significantly interferes with the Hotel's business operations, or if it violates other laws and regulations.
